Data review project

Find out about updated information in Aptify, and guidelines for entering data.

Over the course of this summer we started a project to review all person (solicitor, student etc) & company (firm, accountant, insurer etc) names, phone numbers & address data in Aptify.  A team of 10 staff members have reviewed:

  • 12556 Names
  • 47188 Phone numbers
  • 45996 Addresses

The 360 team has completed the transfer of this cleaned-up data back into Aptify. There will be detailed documentation published on the Intranet on how to input address and phone number data throughout this week. However, the key items are set out below.

Addresses

  • Lines 1 to 4 should only contain the basic address data without any trailing commas (these can be added programmatically if/when required)
  • Countries/Counties should be selected from the available dropdown rather than recording the values in lines 1 to 4 as this will cause duplication of the country name.
  • When recording a Dublin postcode, e.g. Dublin 7, you can enter either Dublin 7 or just the number 7
  • When recording a DX number, you are not required to enter the letters DX as these will be added to any addresses or letters

Phone Numbers

Aptify 6 has introduced a slightly change in how phone numbers are displayed when being record/entered. The phone number field appears as one field but will try to intelligently try to separate area codes from phone numbers through the use of spaces or braces. For example:

  • 01 6724800 would be recorded as area code 01 and phone number 6724800.
  • 6724800 would be recorded as area code 01 and phone number 6724800.
  • 016724800 would be recorded as phone number 016724800 with no area code.
